Fall is one of the most important selling seasons in the payroll service industry. Now the question is: How do you turn this seasonal opportunity into more appointments, more proposals, and MORE new payroll clients?
Here Are The 7 Strategies To Help You Win More Payroll Sales.
- 1. Start Your Year-End Campaigns NOW: Don't wait until November or December, as September and October are ideal months to begin educating prospects about why switching payroll providers before January 1st can make sense.
Idea: Build a series of e-mail marketing campaigns using emails that are followed up with an 'Oh, by the way call.' Use LinkedIn too.
Remember this: The key is to develop a drip marketing strategy NOW, because consistent follow-up keeps your company top-of-mind.
- 2. Give Prospects a Reason To Talk With You: Instead of leading with, “Are you happy with your payroll company?” give prospects something useful, i.e., offer a year-end payroll checklist, payroll compliance review, HR assessment, workers' compensation review, or another resource that creates a legitimate reason to start a conversation.
Idea: Lead with value—not a sales pitch.
- 3. Revisit Every Proposal You Didn't Close: Your CRM probably contains dozens—or hundreds—of prospects who received a proposal but never became clients. Fall is an excellent time to reconnect.
Idea: Remember this: a business's circumstances change when it comes to their payroll service. From pricing changes and service problems to a payroll specialist changing. And a prospect who told you “not now” six months ago may be ready to talk today.
- 4. Ask Your Clients For A Referral(s): Your happiest clients can be one of your most valuable sources of new business. When talking with a client, don't simply ask, “Do you know anyone who needs a payroll service?” Be more specific: “As businesses start planning for next year, do you know a business owner who's frustrated with their current payroll provider or might be considering making a change?” or, "Do you know an office manager or business owner we might be able to help?"
Idea: Develop a series of client-centric drip marketing campaigns along with scheduled sales follow-up calls.
- 5. Reconnect With Your CPA Referral Partners: CPAs and accountants will soon be talking with clients about year-end issues. Because of that, fall is an excellent time to strengthen these relationships. When talking with a CPA referral partner, ask this: "Do you have any clients who might benefit from a new payroll service or a client who's frustrated with their payroll service?” A follow-up statement could sound like this: "Oh, by the way, we're offering all new clients a special discount of X, Y, and Z."
Idea: It pays to pick up the phone and talk with your network of CPAs/accountants.
- 6. Sell The January 1st Conversion: Many business owners naturally think about making changes at the beginning of a new year. Use that mindset to your advantage. You can do this by explaining that starting the evaluation process now gives them time to compare options, make an informed decision, gather their information, and complete implementation without a last-minute scramble.
Idea: Create urgency around planning early, rather than pressuring them to buy.
- 7. Track The Numbers That Drive Sales: Don't focus only on closed sales. Track the activities that ultimately create them:
- Proposals sent.
- Proposals closed (use % closed too).
- CPA referrals received.
- CPA referrals closed (use % closed too).
- Appointments scheduled each week (prospects)
- Appointments scheduled each week (CPAs)
Once you know your conversion ratios, you can work backward from your sales goal and determine how much activity your team needs each week.
Make The Most Of Your 2026 Fall Selling Season.
The payroll companies that win during fall selling season aren't necessarily the companies with the lowest price or the biggest sales team. They're often the ones that start earlier, communicate more consistently, follow up longer, and give prospects a compelling reason to make a change.
The time to build your January sales pipeline is right now!
P.S. #1: When January arrives, you don't want to be saying, “I should have started earlier.”
